7,500+ emails collected via in-show live Q&A system

Description

We built a full-suite system to manage an in-show live Q&A system for four international tours, including question submission for patrons, on-stage Q&A session management, and email collection for marketing.


Solution & Impact

  • 7,500+ marketing contacts collected through the Q&A system across four international tours

  • Designed a show-branded QR code to be displayed on the stage and throughout venue atriums for patrons to scan and access the question submission form on their mobile devices (view here)

  • Embedded a custom question submission form on the show’s website for patrons to submit as many questions as they’d like to have answered during the Q&A session (view here)

  • Set up systems to collect marketing information through the question form, including email and city/state

  • Custom CRM built to collect all questions and patron marketing data in a centralized location over the entirety of multi-state tours

  • Designed an intuitive and user-friendly backend tool for stage teams and show hosts to manage Q&A sessions, including vetting questions to be answered, tagging questions by ‘type’, assigning priority levels to questions to be answered in a particular order, and marking once they have already been answered on stage

  • Implemented an automated roll-up feature to allow the producers to mark questions to be ‘saved for later’ which triggered an automation that added the question to a running Google Document being used by the team to tweak the show’s content over the course of the tour

  • Set up automated communications to easily email patrons after the show to solicit feedback or promote upcoming shows


Client Problem

  • Venues were soliciting questions from the audience by passing out pens and index cards, collecting the filled-out cards, sorting through massive stacks of cards back-stage to decipher handwriting and determine which questions should be answered in the Q&A session

  • The system was tedious and time-consuming for both patrons and the production company

  • Despite thousands of question submissions, no contact info was collected in the process for post-show engagement, feedback surveys, or promotion of future shows

  • Questions were not saved post-show for the production team to improve the show content
